How do I know what to automate first?

Ask three questions about each task:

  • How often is it done, and how long does it take each time?
  • Does it always follow the same rules, or does it need human judgement?
  • Is the data already digital (email, spreadsheets, software)?

Six tasks that usually save the most hours

  • Invoicing: creating and sending invoices when an order or service is completed.
  • Payment reminders: chasing overdue invoices without anyone having to do it.
  • Appointment reminders: fewer no-shows with an email, SMS or WhatsApp reminder.
  • Lead intake: every form or email lands in your CRM with the data in order.
  • Reports: the weekly sales or activity summary, ready every Monday without building it by hand.
  • Documents: collecting files from clients and extracting the data you need from them.

What should you not automate yet?

  • Decisions that depend on judgement or on the client relationship.
  • Processes that still change every week: stabilise them first.
  • Very rare tasks: the effort does not pay off.

How do you stop failures going unnoticed?

A good automation logs every run, retries when something fails and alerts a person when it cannot fix things on its own. Without that, a broken automation can go unnoticed for weeks.
